Beginning November 1, 2025, all DRC proposals will be submitted and managed through the online portal at https://summit.cincwebaxis.com/.
If you haven’t already, please take a moment to register (click here for more information on how to register for an account).
Maple Hill DRC Request Submission Instructions
To submit an Architectural Review (DRC) request:
1) Log into the Owner Portal
Go to: https://summit.cincwebaxis.com/
Click Register (if you have not registered yet — no account number needed).2) Navigate to the ARC Request Section
Once logged in, go to:
Home Page → Requests → Architectural Request (ARC/ACC)
(or Submit a Request, depending on the menu layout)3) Start a New ARC Request
Click New Request / Submit Request and complete the form including:Description of the proposed improvement
Materials and colors (if applicable)
Dimensions and location on the lot
Proposed start date and completion timeline
4) Upload Required Documents
Attach all supporting items needed for review, such as:Plot plan / survey showing placement
Photos of the area
Product brochures / specs
Paint colors (manufacturer + color name/code)
Incomplete requests may be delayed until all documents are received.
5) Submit
Click Submit to send your request to the Maple Hill ARC for review.You’ll receive confirmation through the portal once it has been submitted, and you may also receive follow-up questions if additional information is needed.

Designs that are pre-approved for installation in front yards may be downloaded from the Colorado State University Extensionor from the Plant Select Organization.
Pre-approved designs for the hellstrips can be found here, courtesy of a city grant in 2023.
NOTE: An approved City of Fort Collins Parkway Landscape Amendment Application must be completed and approved prior to landscaping the parkway with anything other than turfgrass.

Residents are encouraged to maintain Kentucky Bluegrass lawns at 3-4 inches to decrease water use.
Only low-water perennials (no gardens, planter boxes or annuals) are permitted within four (4) feet of the house perimeter.
Due to high water use, garden plants or planter boxes may not be planted within four (4) feet of the house foundation.
No invasive plants or weeds are permitted. Plants that spread aggressively to neighbors’ yards are not permitted. More information is available on the Larimer County website.

Where can I find the pre-approved paint schemes?

To request a variance, please have a professional color expert approve your color scheme in writing. This should include contact information for the color professional.I want to repaint my current colors. How do I find the paint names and/or color codes?
There is a very remote possibility that this information is in your file, Contact the Board to see if they have the historical record.Contact the DRC to request them to come out and use their color matching tool + app.
If you have already chosen a paint vendor, ask them to perform the color matching for you.
I have selected a color scheme. What next?
Paint 2'x2' samples on your garage. Photos of these samples should be included in your "Before" photos when you submit your application.Submit an application to the Design Review Committee (DRC). If you are not choosing a pre-approved color scheme be sure to upload the written approval from your color expert.
>> If you selected a pre-approved color scheme, then the DRC approval is automatic.
>> If you are requesting a variance, the DRC can take up to 30 days to approve your application - but they usually make a decision within 7 days.
After receiving written approval from the DRC, schedule your project with your selected vendor.

The DRC reviews applications and either approve or reject proposed Improvements within the Common Interest Community to determine if they are in compliance with the Declaration and can be further determined in the Guidelines.

Per the definition listed in the Declaration “IMPROVEMENTS” means the following located or occurring on any Lot:
residences
buildings
structures
pools
trampolines
basketball backboards
outdoor play structures
hot tubs
landscaping
lighting
tree houses
fences
"yard art" (including, without limitation, all statues, decorative pieces and other pieces of art located in the yard area of any Lot which are intended to remain in place longer than typical holiday period decorations)
walls
hedges
plantings
poles
driveways
parking areas
sidewalks
gazebos
patios
decks
signs
changes in any exterior color or shape
excavation and site work
removal of trees or plantings
any new exterior construction or exterior improvement on a Lot which may not be included in this list

The DRC Guidelines are strictly meant to outline Lot improvements.
Rules & Regulations are meant to outline property maintenance.
Both are meant to enhance the overall property value of the neighborhood and are part of covenant compliance.
